DPS Society Case Study

The DPS Society is a non-profit, non-proprietary, private, educational organization. This Global Network of over 130 English medium, co-educational, secular schools provides education from Pre-Nursery/Nursery to Class XII.

To efficiently run its school health programs, DPS Society decided to automate its student health information managaement operations. A phase wise execution plan was devised to implement the School HMS in core and non-core schools of DPS Society. Initial inclination was towards a in- premises installation of school HMS with each school maintaining its own server and required IT infrastructure.

Need for a School Health Management System :
  • Previously the DPS was manually managing the large volume of student health assessment data using an inefficient mix of paper records and Excel sheets. This led to the creation of an unconnected data management system in which data was static and largely unordered.
  • Inaccessibility of past/current data for teachers, counselers as searching of data was an exhaustive process.
  • The cumbersome manual system involved dedicated man hours for entering and updating dynamic data. Moreover the data was prone to manual errors and vulnerable to thefts, damage, unauthorized access.
  • Need for a system that could help the Management leverage large pool of health assessment data maintained in Excel sheets
  • User friendly Multiuser system with ability to handle large volume of data
  • Analysis Report Generation
Solution :

A web based application was designed for DPS Society that helped them integrate technology in their school health program.

  • The web based application enabled consolidation, structuring and automated processing of large amount of student health assessment data
  • Categorization of data into student, teacher, class-wise information. Student lookup that provided a single point of reference to student’s physical and psyshosocial health assessment details
  • The application was accessible over a browse, and served as a single point for viewing, entering & updating data, eliminating the need for manually entering and maintaining data in various Excel sheets and paper records
  • Maintained a secured role based system that controlled the application interface and data presented to a user based on their credentials
  • Automated the migrating of data from existing Excel sheets so that management could utilize and draw analytics from past records.
Result and Summary :

From Excel sheets to dedicated browser based School Health Information Management System

  • School HMS automated the process of administration, information gathering and data management with a significant reduction in errors
  • Application provides greater visibility into data
  • The application was accessible over a browse, and served as a single point for viewing, entering & updating data, eliminating the need for manually entering and maintaining data in various Excel sheets and paper records
  • Application helped structure large volume of school health data and provides real time access to past and present data. This helped streamline existing process and run health programs efficiently.
  • Applciation provided ability to generate various analytical reports (tabular, graphs, charts) that could be exported to various popular formats such as PDF, Excel etc.
  • High Data Security
  • The phase wise execution in accordance with DPS’s plans to eventually automate all 130+ schools.
